Job Summary

The Administrative Client Support Manager is an integral part of the administrative and planning team.   The focus on this job is working to check meeting availability, generate contracts, as well as working with mid size groups.  This position works on all aspects of the booking process from receiving inquiry calls, booking business, confirming details and working with the group while they are on site.  This position reports to the General Manager and the Director of Food and Beverage.  Work schedule will be 40-50 hours over a five-day period; days and times may vary based on need.

 

Key Responsibilities:

  • General Letters of Intent for all Foundation Groups
  • Book space for all groups – both internal and external
  • Answer inquiries, generate estimates
  • Optimize room rental charges.
  • Ability to generate creative and innovative menus while working closely with Chef on pricing specialty menus.
  • Work closely with banquet department on operations and event execution.
  • Create banquet event orders, must be clear and concise in order to provide the operations team with the details to executive a flawless function
  • Partner with The Forum Hotel when applicable
  • Ability to work with outside vendors to ensure client satisfaction for all events/groups.
  • Prepare and send requested collateral materials to designated clients or guests. Common collateral materials might include catering menus, brochures, meeting room layout & seating capacity diagrams, area maps
  • Detail the meeting/function with the client including: space requirements, times, equipment, menus, themes/decorations, etc. Complete the contracts, prepare the appropriate paperwork, including banquet event orders, coordinate with the appropriate areas, resolve any issues, complaints and problems to ensure a quality product delivery and customer satisfaction.
  • Professional and positive communication to both guests and fellow employees. 

Preferred Qualifications:

  • Associate’s degree preferred
  • Minimum 1-3 years of hotel experience, preferable in Sales & Catering.
  • Thorough knowledge of the practices and procedures of catering, food and beverage, menu development and pricing.
  • Ability to investigate and analyze current activities and/or information involving readily available data and indicating logical conclusions and recommendations.
  • Experience with MS Office products as well as industry software (booking tools)
