Job Summary:

As a Creative Project Specialist, you will manage all aspects of high-value, complex sales and retention proposals while ensuring alignment with the client needs, brand standards and Compass Group’s positioning. Project Specialists must have excellent organizational skills, strong multi-tasking abilities, and be able to ensure all requirements for each project are being met. In collaboration with our graphic designers, you will work on a variety of creative deliverables such as proposals, presentations and other print and digital collateral items as needed. This is a highly visible role, supporting our sales team and bringing together subject matter experts from all levels within the company. This role combines strategic leadership with hands-on coordination and will contribute to the overall strategy of a sales pursuit.  

Responsibilities:

  • Lead and manage the full proposal lifecycle for complex, high-value bids—from RFP analysis to final submission.
  • Analyze RFPs to align responses with client objectives, business strategy, and compliance requirements.
  • Develop and refine proposal content and messaging, including writing key sections and tailoring responses.
  • Assign RFP questions to Subject Matter Experts (SMEs) and manage the clarification process with clients.
  • Schedule and facilitate creative kick-off calls to align stakeholders on scope, tone, and deliverables.
  • Use tools like Smartsheet and Teams to track assignments, deadlines, and workflow.
  • Review and proofread proposals for accuracy, consistency, and brand alignment.
  • Act as the primary liaison between Sales and Creative teams, ensuring clear and timely communication.
  • Oversee submission logistics and ensure all client requirements are met.
  • Provide thought leadership and messaging strategy to elevate proposal quality and competitiveness.
  • Review and approve final proposal documents to ensure strategic alignment and compliance.
  • Represent the proposal team in meetings and sales presentations, influencing strategy and decision-making.
  • Build and maintain strong relationships with key stakeholders, including operations, SMEs, and leadership.
  • Mentor and train Proposal Coordinators, sharing best practices and process guidance.
  • Understand deal financials, including pro formas, margins, and cost structures.
  • Attend critical sales presentations on-site as needed.

Qualifications:

  • 5+ years of experience in proposal management, business development, or a related field.
  • Project Management Certification required (PMP, PMI, CAPM, etc)
  • Proven success managing complex, multi-stakeholder proposals.
  • Strong writing, editing, and messaging skills.
  • Proficiency in Microsoft Office; experience with Smartsheet, SharePoint, and Adobe tools preferred.
  • Project management training or certification is a plus.
  • Relevant professional experience may be considered in lieu of a formal degree.
