Job Summary

The Executive Assistant provides advanced administrative and project support to the Enterprise VP Client Success. This position supports multiple service lines, including UK Hospitality, UK Facilities Management, UK Environmental Services, and UK Patient Care. The role coordinates executive schedules, communications, meetings, reporting, and special projects while serving as a key liaison between operational leaders, client stakeholders, and corporate support teams.

Essential Duties and Responsibilities

Executive Support

  • Manage executive calendars, travel arrangements, expense reporting, and meeting schedules.
  • Prepare presentations, reports, correspondence, agendas, and executive briefings.
  • Coordinate leadership meetings, client reviews, site visits, and special events.
  • Track action items, deadlines, and follow-up activities to support business priorities.
  • Serve as a primary point of contact for internal and external stakeholders.
  • Handle confidential and sensitive information with discretion.

Project and Administrative Support

  • Maintain reports, dashboards, project trackers, and business documentation.
  • Coordinate project activities and monitor progress against established timelines.
  • Assist with preparation for executive business reviews and governance meetings.
  • Conduct research and gather information to support decision making and operational priorities.
  • Identify opportunities to improve processes, communication, and administrative efficiency.

Partnership and Operational Coordination

  • Support client partnership initiatives across the University of Kentucky and UK HealthCare.
  • Coordinate communications among client leaders, operational teams, and corporate partners.
  • Assist with tracking client commitments, operational priorities, and strategic initiatives.
  • Support special projects focused on service excellence, client satisfaction, and operational performance.

Office and Team Support

  • Coordinate training events, town halls, leadership meetings, and employee engagement activities.
  • Assist with office operations, meeting logistics, supplies, and vendor coordination.
  • Support a collaborative, customer-focused work environment.
  • Perform other duties as assigned.

Qualifications

Required

  • Three to five years of executive administrative support experience, preferably supporting senior leaders.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.

Preferred

  • Experience in higher education, healthcare, hospitality, facilities management, or related industries.
  • Experience supporting leaders with responsibility across multiple locations or business units.
  • Experience coordinating projects, executive meetings, and business reviews.
  • Familiarity with reporting, performance metrics, and client-facing environments.
