Job Summary

We are looking for an experienced Facility Coordinator and Planner to join our dynamic facilities management team. In this role, you will assist in enhancing the operational functionality of our clients facilities, ensuring a safe and efficient workplace for all our employees. Your contributions will play a vital role in supporting our organizational goals and ensuring a successful results driven facility department program. This position requires a motivated individual to act as a liaison between Client and ESFM Facilities Teams and engage with Client Workplace Experience teams as needed. You will collaborate with various departments to manage facility related programs and support our commitment to sustainability and operational excellence in a manufacturing environment. 

This position is critical to support and assist in the creation of long- and short-range work plans in support of the Clients manufacturing objectives. Assisting in the identification, development, implementation and sustainment of Standard Operating Procedures (SOP’s) various program elements. Assist in the deployment, employment and effective utilization of Integrated Work Management (IWMS) and/or Computerized Maintenance Management (CMMS) Systems. Manages Asset Information accurately. Manges vendor service agreements and schedules. Manages the Meeting management system for the facility. 

 

Responsibilities:

 

Assist managers in developing and coordinating work schedules and job duties for their direct reports to ensure efficient and high-quality services are rendered.
Coordinate facility department activities and business rhythms.
Manages vendor (Service Provider) relationships, including procurement, sub-contract negotiation, scheduling, and performance evaluation.
Coordinate with vendors and service providers to ensure timely completion of services and projects.
Assist in the identification, development, and maintenance of facility management processes. 
Assist in the preparation and management of the facility budget and procurement activities.
Support employee onboarding and space allocation processes, ensuring a smooth transition into the workspace.
Coordinates Space and workstation furniture needs for the facilities team.
Maintains master site facility plans (drawings, specifications, and O&M Manuals, etc.). 
Leads space management initiatives for the facilities department. 
Help organize and implement facility-related events and activities.
Assist in Management of the Parts/Bench Stock, Shop Stock and Consumables.

Ability to multi-task and establish tasks of staff. 
Ability to maintain detail and organization in a changing environment. 
Exhibit initiative, responsibility, and flexibility. 
Ability to meet deadlines and make sound decisions.  
Posses extensive analytical skills with ability to obtain and transmit data points. 
Proven ability to write proposals to recommend organization change.  
Exhibit ability to write SOW’s and FSA’s with knowledge of Contracts. 

The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. The employee is required to walk, sit, climb or balance and required to lift and/or move up to 50 pounds.

Requirements: 
Bachelors or Associates Degree 
3+ years facilities management experience  
Familiarity with AutoCAD for space planning preferred.
ESFMx and/or Maximo experience is preferred.
